I have had one for 35 years!

From Rolodex to Today's CRM System

I started this business some 35 years ago and recognized early on, that if I was going to juggle running a business, running my household as a single mom, and have a social life of some kind, I was going to need a way to manage the data, information and contacts I made. There was no way, I was going to be able to keep it all in my head without forgetting key appointments, tasks, projects - or heaven forbid forgetting to pick my children up from school (which I did once - OMG)... The Rolodex (sorry to the younger generations if you don't know what this is - I've included a photo, just in case), sitting on my desk was great for finding a phone number or an email address (for those who had one).. Mind you in those days - one remembered phone numbers as the internet was just becoming a thing in the business world. Anyway, I digress... 

What I realized quickly was, I needed to devise a system to help me keep track of everything happening within the business.  It started by creating a database of all my contacts, leads, connections, and I did this in a program called dBase for Dos (are you old enough to remember this?) Soon, I realized this system was great for finding contact information and making notes of interactions, but now I realized I needed a work flow and a means of tracking the projects I was working on.  In came Access (I believe it was called). This allowed me to pull data from the database and insert it into fields, then print the form... creating my initial docket system for client projects.  (Today I use Zoho Projects integrated with Zoho CRM and Zoho Books). From here, I discovered Maximizer and used this CRM until they priced it out of the small business market (Good NEWS, in recent years they have brought back to a small business pricing model - great tool, just not enough for what I require today).  Over the years I bounced from system to system until - oh about 2009 I stumbled upon Zoho and have never looked back - in fact the Zoho One suite completely runs my business - but that's another topic.  

So why am I telling this story? 

To get across the point that my database is 35 years old - consistently updated, notes written, contacts marked as retired and so on - I do not need to keep all this data in my head because it is only a click away in my CRM. I know how to reach my contacts, what services, inquiries, comments or testimonials have been given, what projects are on the go, and so much more. I can create lists to target for marketing, or lists to update clients using a specific tool at the click of a few buttons.. Not to mention the automations I have in place to remind me to call, follow up, process an invoice, or just a note that I haven't spoken with a contact in six months.  The possibilities of using your CRM to keep yourself organized, on top of every task and more importantly your customers happy - well - they are endless. The better you know your policies, procedures and customer journey - the better you can tailor your CRM to work for you and make your day, that much easier!

Choosing the Right CRM System

Picking the right CRM system depends on what your business needs. Zoho CRM, with its extensive features and customization options, is great for businesses looking for a versatile solution. Keap is excellent for small businesses focusing on marketing automation. Monday.com offers robust project management capabilities, while Maximizer provides comprehensive CRM functionalities with a focus on customer data management. Zoho, Hubspot and others even offer a free version.  And these are only a few of the CRMs on the market - today there are probably 100s if not 1000s. There are CRM systems tailored for specific industries, (real estate, mortgage, financial and insurance industries often have CRMs built specifically for their industry and sometimes even their brand). There are simplistic CRMs that are really not much more than a contact database and pipeline with basic automation like Bigin, or more complicated systems like Salesforce with endless possibilities.  Do your homework, and the best advice I can give you is -- work with a professional to help set up the system for advanced automations. They know the systems and what is possible, what you need to think ahead about - as changes down the road, may affect automations and data currently in place. 

Using a CRM system in your business operations is essential. The benefits of better customer management, improved sales performance, streamlined marketing efforts, efficient business procedures, data-driven decision-making, and enhanced collaboration are significant. By choosing the right CRM system, like Zoho, Monday, Maximizer, or Keap, you can make your business more efficient, productive, and successful.
